  1. A piece of land has one record, the Site, from the first approach to Completed or Dead. A Lead source produces Candidate leads; Back Office accepts one and it becomes a Site at New Lead — Lead and Opportunity are phases of that one record, not two records (D-011).

  2. Everything in the frame belongs to one Site: its appraisals, its buyer and contractor involvements, its tenders, its Heads of Terms — one per HoTs type, linked back-to-back (D-007) — its fees under one fee agreement (D-029), its exclusivity, its Legals record, and the gates and history behind it.

  3. A Site has one landowner Account and may name a promoter (D-032). Buyers and contractors reach the Site through an Involvement each: one Account, many Involvements, one per Site.

  4. A Buyer Involvement holds the buyer’s offers, every version kept. A Tender invites Contractor Involvements; each holds its bids, and a bid is read into a Quote comparison against the company’s one Benchmark.

  5. An Account employs its Contacts. A Contact is a Key Contact on many Sites, by side, and may carry a Suppression entry that stops every send.

  6. On the right, the work: a Site has Actions, links Documents in SharePoint and logs Activities — and so do Accounts and Contacts. An Outreach message goes from a Template to a Contact and is logged as an Activity.

  7. Proposed updates and every AI output change nothing until a named person accepts them; an Exception request waits for a partner (D-012, D-035).

  8. Below, the people and the rules: each User holds a role, may hold Duties, owns Actions and receives Notifications; every change is an Audit entry; Settings and lists — regions, stall rules, deal clocks, Reason Dead — are the admin’s, without a developer.

from any Lead stageLost to Competitor, Rejectedfrom any Site stage

One record from the first approach to the close. Back Office and Land work the Lead stages; Site Review and Instruction Approval are the two gates before a formal instruction (LCY-C08, LCY-C13). At Instructed the Lead converts into an Opportunity in place, with all its history (LCY-C02).

After instruction no stage is typed: each move is the event the owning module records — the Preferred RP, the Preferred contractor, the agreed offer, the signed Heads of Terms, exchange, completion (LCY-C03, D-021). An invalid move is blocked and says why (LCY-C04); a move back needs a reason (LCY-C05).

Before instruction a Lead has a pre-instruction status, not a Site status: Mill Pond waits as “On Hold · Parked” — the appraisal outcome Parked (LED-C19). The Site status Active, Awaiting, Agreed or Parked applies from Instructed (LCY-C22).

Each entity carries the access of the module that owns it, as 02-architecture.md › Roles and access gives it per role; the words under a mark are that table’s own limits.

A user edits the fields of their own function and reads the rest (LCY-C06). “Own” for Land means the Leads and Sites of its region (D-035). Construction sees only Sites with Construction Involved = Yes.

Amended at the merges (D-027, D-028, D-031): the Admin also configures the settings inside Documents, Heads of Terms, Views, Buyers, Contractors, Lead Generation, Benchmarking, Site Lifecycle, Appraisals and Actions; Land may start and revise the Land HoTs; Back Office has no access to the Weekly Regional Review; Partners / MD read every action and may move back or close any Site with a logged reason; an abnormal cost claim above an admin-set value needs a Partner / MD.
