| # | Part | What goes in it | Size |
|---|---|---|---|
| 1 | Brand band | The mark from the logo and “Valere CRM” on the brand band, with the kind of letter on the right. Outreach carries “Valere Group”: the buyer never meets the CRM. | 600 × 56; mark 24 high |
| 2 | Picture plate | The picture of this moment from the illustration set, on a soft tinted plate: brand blue, or amber for a letter about a delay. With alt text. | Picture 240 wide; plate inset 24, padding 32 |
| 3 | Heading | The letter’s name as a small eyebrow (none in outreach), then one line that says what happened. | Eyebrow 12 / 16; heading 24 / 32 |
| 4 | Summary | One line: the gist, for the reader who reads nothing else. | 16 / 24 |
| 5 | Fact card | The facts of the moment: Site Code, Site name and its stage chip, up to three figures (fee, date due, Deal Health), then the lines the reader would otherwise open the record for. The digest and the pack list their items instead. | Radius 12; figure 13 / 20 over 16 / 24 |
| 6 | Message | One to three sentences in the product’s voice: what it means for the reader and what to do. | 14 / 20, muted |
| 7 | Actions | One strong primary button that opens the record, and one quiet secondary link beside it. | Button 44 high; link 14 / 20 |
| 8 | Footer | Why this person received it; the notification settings link; the sender line. Outreach has the opt-out line in place of the settings. | 12 / 16 on the muted plate |
Still: each goes out as a PNG exported from its drawing in the brand colors, 240 px shown at twice the density, with alt text. No GIFs, so every mail client, old Outlook included, shows the same complete picture.
Every color is a token with a dark value. Switch this page to Dark to see a letter as a dark mail client shows it: the band turns pale, the plate and the card go dark, the chips and the button keep their contrast.
With images blocked, the picture’s alt text stands in its place and the letter still reads complete: the heading, the summary, the card and the button carry the meaning, never the picture.

The product signs in with Microsoft 365 only (D-014), so there is no password-reset or verification-code letter. Notifications come from the shared notification mailbox in Valere’s tenant (D-019) and go only to Valere users. Outreach is sent from the user’s own mailbox through Microsoft Graph, after a person approves it, and always carries the opt-out (OUT-C13).
