Your data

For Valere’s partners, their IT and a procurement questionnaire

Security

What keeps Valere Group’s data safe in Valere CRM, in plain words: what it means for you, not how it is built. Every line comes from the project’s documents and carries one of three tags.

Done in the pilotThe pilot Apiko built already does this.In V1Committed for the first release, not built yet.Not promised yetNo document commits it; the last part says whom to ask.

Your data

Where it lives, who can reach it, how it is locked, how long it is kept, and how Valere takes it out.

Hosted in the UK or the EU, in Valere’s own accounts People at Valere invited by the admin one role each The CRM checks the role on every request The database encrypted where it rests Valere’s SharePoint files stay here; the CRM keeps a link The AI provider sees what the user may see; never trains on it The audit log every change, never edited Daily backup the restore is tested Microsoft 365sign-in, second step Encryptedon the way
The path of a record: a person signs in, the CRM checks their role on every request, the data is locked on the way and where it rests, and every change goes to the audit log.

Who gets in

Accounts created only by the admin, what each of the six roles sees, how people sign in in the pilot and in V1, and how a leaver is closed out.

sees it and works in it sees part of it, or only reads it, as below does not see it
  • Back Office sees Leads and appraisals; Land sees its own Leads and region; Construction sees only Sites with Construction Involved = Yes.
  • The Admin works with settings, not with the Land log or Land performance: it reads the commission rates Partners / MD set, and sees the old and new values of the Land log masked in the audit log.
  • Partners / MD see everything; Land performance is never shown to staff.

Nothing is lost

Daily backups with a tested restore, history that is never overwritten, and what can be put back.

Against attacks

Limits on tools, what is checked before anything changes, an AI that cannot act alone, and who can see what is running.

Who did what and when, kept and unchangeable, and open to the people who need it.

What is promised, and what is not yet

The honest list: what is not promised yet, and whom to ask.

Nothing below is a promise, and none of it is hidden. If a questionnaire asks for it, the answer today is “not set in the documents”, with the person to ask.

Not promised yetWhat the documents sayWhom to ask
A certification, such as SOC 2 or ISO 27001No document names one, so none is claimed. SOC 2 is an independent report on how a provider protects customers’ data; ISO 27001 is an international standard for running information security.Apiko (the build)
An independent penetration testNot planned in any document. It is a test in which outside specialists try to break in and report what they found.Apiko (the build)
How fast it is back after a failure, and how far back the backups reachDaily backups with a tested restore are required; Valere asks Apiko how long backups are kept and when a restore will be tested (T26). The time to recover is not set anywhere.Apiko (the build)
Availability outside working hoursThe 99.5% target is for working hours only.Apiko (the build)
The hosting provider and the exact regionThe documents say the UK or the EU and name no provider.Apiko (the build)
What Apiko’s engineers may reach in production, and what is loggedOnly the installation is described: the first Admin and the Microsoft connection, recorded in the audit log.Apiko (the build)
Keeping the software and platform current, fixing a weakness, and telling Valere about an incidentNo document sets a routine, a time limit or a notice. Defects found in the first 60 days after go-live are fixed at no charge; no support arrangement is written for after that.Apiko (the build)
A notice to the owner when a token is created on their accountThe letter is designed on the Email templates page, but no document promises it. Warnings about sign-in itself belong to Valere’s Microsoft 365.Apiko (the build)
A list of signed-in devices, and “sign out everywhere”Not described. Sign-in itself, and what Microsoft does after repeated wrong attempts, belong to Valere’s Microsoft 365.Apiko (the build)
Virus checks on files, and versions of filesFiles live in Valere’s SharePoint, under Valere’s own Microsoft 365; the CRM keeps only a link and a category, and promises no checks or versions of its own.Apiko (the build)
A read-only account for an outside auditorThe audit log is read by the Partners / MD and the Admin. A separate auditor role is not in any document.Apiko (the build)
How long personal data is keptValere sets the period in the product; no document gives a number. Data collected for lead generation can have its own period per source.Valere’s data-protection advice
The lawful basis for the personal data lead generation collectsNames of applicants, agents and owners come from planning portals and the Land Registry. The lawful basis and the notice to those people are not settled; Valere’s data-protection advice is a deliverable before the first scheduled run.Valere’s data-protection advice
