2 Dana’s send is blocked; Dana asks for an override

Mon 9 Nov 2026, 07:55. On Heron Fields › Buyers, Dana Whitfield picks the group London & East RPs 1 and the pitch 2 and clicks Send 3. The duplicate-send guard stops it: already pitched in this round on Mon 14 Sep 2026. Dana clicks Ask a Partner / MD to override 4, types why 5 and clicks Send request 6: “Override requested · waiting for a Partner / MD”, and nothing is sent.

3 System: the requests reach the MD

System: each request becomes an MD-decision item, delivered by the notifications and listed in the MD exceptions view and in Rhys Calloway’s Pending proposals. Rhys chose the morning digest: the digest of Mon 9 Nov 07:00 carries “Hatch Farm · Decision · Jamie Morgan asks for an exception”; Dana’s request of 07:55 arrives later, in the notification centre and Pending proposals.

4 Open the exceptions

Rhys Calloway clicks Executive 1 in the sidebar. The dashboard puts the exceptions first: “3 decisions wait for you”, the card Needing MD decision with each request’s Site, requester, date and why, and Approve / Decline; beside it the stalled Sites with the rule that fired, the legal blockers, the funnel, the Deal Health league and the team snapshot.

5 Read Dana’s request

Rhys Calloway clicks the Heron Fields row Duplicate-send override 1. The decision drawer shows the Site (Under Offer), who asked and when, what is asked, Dana’s reason and the send history of round 1: sent Mon 14 Sep 2026 to the group, Calder Valley Homes Agreed and Preferred, Northfield Partnership Offered. Reason is required; the buttons are Approve and Decline.

6 Decline with a reason

Rhys Calloway types the reason 1 and clicks Decline 2. The drawer closes, the card reads “2 decisions wait for you”, and the request moves to “declined · Rhys Calloway · Mon 9 Nov 2026” with its reason, written to the audit log.

7 System: Dana is told

System: the outcome goes to the requester. Dana Whitfield’s notification centre has “Rhys Calloway declined your override on Heron Fields” with the reason; on Heron Fields › Buyers the send is still blocked, and Start a new round is offered as the deliberate route.

8 Approve the gate exception

Tue 10 Nov 2026, before the instruction. Rhys Calloway opens the Hatch Farm row Gate item without evidence 1, reads the item, its missing evidence and Jamie’s reason, types the approval reason 2, leaves the Date at Tue 10 Nov 2026 3 and clicks Approve exception 4. The exception names the item, the reason and the date; the toast reads “Exception approved and logged”.

9 System: the gate counts it closed; Jamie is told

System: the excepted item counts as closed for the gate and stays visible as “Excepted · Rhys Calloway · Tue 10 Nov 2026” with the reason; the gate reads “5 of 5 closed”. The exception is logged and shown on the Site. Jamie Morgan is told first: “Exception approved on Hatch Farm — you can record the instruction”. Jamie records it in the flow From a candidate site to a formal instruction.

10 What is left

Rhys Calloway returns to Executive 1: “1 decision waits for you”, Lea Bridge Works, Contractor below Acceptable, Conor Higgins, Thu 5 Nov. An undecided request stays listed here and in Rhys’s Pending proposals until it is decided; meanwhile Conor Higgins’s choice of a Preferred contractor stays refused.

11 Alternative: the gate exception declined

Alternative: at step 8 Rhys Calloway types the reason “Wokingham BC publishes the highways comments by Fri 13 Nov; record the instruction once they are checked” 1 and clicks Decline 2. Jamie Morgan is told with the reason; the item is open again without the “requested” mark, and Record instruction 3 is refused with “1 Instruction Approval item open” until the item is evidenced.

12 Alternative: the contractor exception approved

Alternative: Rhys Calloway types the reason “Westbrook Construction already works with us on Church Farm; go ahead, with the price reviewed against the benchmark before the CSA” 1 and approves 2 Lea Bridge Works’s request. Conor Higgins is told; on the Contractors tab, choosing Westbrook Construction as Preferred is no longer refused, and Conor still makes the choice with a reason of their own: the approval does not choose.

13 Alternative: the MD is out

Alternative: Rhys Calloway has an out-of-office with Eleanor Shaw as named cover until Fri 13 Nov 2026. The same requests are in Eleanor Shaw’s Executive dashboard and Pending proposals, each marked “Routed to you: Rhys Calloway is out”; a decision taken there is recorded under Eleanor’s name.

14 Alternative: no partner available

Alternative: Rhys Calloway and Eleanor Shaw are both out and no deputy is named. The request stays listed, undecided, in the MD exceptions view and in Pending proposals; the gate stays refused, and nothing decides it automatically. What should happen then is an open point.

15 Alternative: a request withdrawn

Alternative: before Rhys Calloway decides, the highways comments are published. Jamie Morgan attaches them as evidence 1 and clicks Withdraw request 2. The item is completed with its evidence, and the request is gone from Rhys’s card and Pending proposals: withdrawn before instruction, the exception no longer applies.

16 Alternative: no reason, no decision

Alternative: Rhys Calloway clicks Approve or Decline 1 with Reason empty. The field is in error, “Add a reason to approve or decline”, and nothing is recorded.

17 Alternative: nothing to decide

Alternative: on a day with no requests, the card Needing MD decision reads “No decisions wait for you”; the stalled Sites, the legal blockers and the Deal Health league are still shown.
